Next Annual Homeowners Meeting: March 13, 2010

Each spring the HOA will hold the Annual Homeowners Meeting. Notice of this meeting must be given no less than 10 days and not more than 30 days prior to the meeting.

At this meeting, elections for the new Board of Directors will be held. The new board will then immediately choose its new officers.

In addition to elections, the homeowners association may transact any business necessary. Items will be presented for vote. Homeowners may cast their votes in person, by proxy, or by mail-in vote. See Elections for the Official Proxy Form and Election information.

The official quorum requirement for an election is 40% of all 159 homes or 64 homes. Each home or lot must be represented at the meeting either in person, or by proxy, or by mail-in vote. Faxes are an acceptable form of a mail-in vote. For business to be transacted there must be an affirmative vote of 50% + 1 of those represented at the meeting.

Also at this meeting, the current Treasurer will present the annual budget and the profit and loss statement from the previous year along with other necessary financial information.

This meeting also serves as a forum for homeowners to state their concerns and ask questions.

Special Assessment Meetings

Next Special Assessment Meeting:  None at this time.

The Board of Directors may call for a meeting to “Establish the Budget” for any special assessments. The Board will send out a voter information packet on the issues being presented at the meeting.

The quorum, voting, and proxy requirements are the same as for the annual homeowners meeting.

There are two purposes for a special assessment:

1.To cover unanticipated financial shortfalls; and/or

2.For the purpose of defraying, in whole or in part, extraordinary expenses such as the cost of construction, reconstruction, repair, or replacement of a capital improvement of the Common Areas, street lighting maintenance and liability expenses, fixtures, or improvements of the Association, including repairs or renovation.
